Data Field Explanations
Employee Code
- A unique identifier assigned to each employee.
- Typically used for internal tracking and referencing in HR and payroll systems.
Approval Type
- Indicates the approval flow for leave and costing (timesheet) based on either Project or Department.
- If it’s project-based, then the Project Manager of the relevant project (assigned at the time of employee check-in) is the approver for that specific employee’s leave requests and costing approvals.
- If it’s department-based, then the approver will either be the supervisor explicitly set in the employee’s profile or, if no supervisor is specified, the Head of Department (HOD) of the department to which the employee belongs.
Employee Type
- A temporary flag that indicates whether the employee is a Worker or Staff (or other categories in some systems).
- This field will be obsolete when the new permission module goes live (where a more robust system of roles/permissions will replace this simple flag).
Full Name
- The employee’s legal full name (e.g., “Pravin Lee”).
- Used in official records, documentation, and display purposes.
Gender
- Indicates the employee’s gender (e.g., “Male” or “Female”).
- May be used for demographic or reporting purposes.
Designation
- The employee’s role or job title within the organization (e.g., “General Worker,” “Manager,” etc.).
Passport No
- The employee’s passport number for identification, especially for non-citizen employees.
- Used for verification and immigration-related record keeping.
Passport Expiry Date
- The expiration date of the employee’s passport.
- Crucial for ensuring valid work passes and compliance with immigration regulations.
FIN Type
- In some regions, “FIN” stands for Foreign Identification Number.
- Shows the type of FIN the employee holds, such as a Work Permit, S-Pass, or others.
FIN No
- The actual FIN number assigned to the employee.
FIN No Effective Date
- The start/effective date of the employee’s FIN.
- Often used to track validity and ensure legal work status.
FIN No Expire Date
- The expiry date of the employee’s FIN.
- Helps track when the work pass or permit needs renewal.
Job Status
- Indicates whether the employee is Full-Time, Part-Time, Intern, or other categories.
Date of Birth
- The employee’s birth date (in a consistent format, e.g.,

Marital Status

- The employee’s primary phone number for contact purposes.
Join Date
- The date the employee officially joined the company.
- Used in benefits eligibility, seniority calculations, etc.
Attendance Effective Date
- The start date from which the employee’s attendance tracking is considered active in the system.
Department Assignment
- The department or project team the employee is currently assigned to (e.g., “PROJECT-WORKER/GROUP 2 - JEREMY CHEN/WORKER_TEAM”).
Department Effective Date
- The date the employee’s assignment to the specified department or project took effect.
Leave Grade
- The leave entitlement category or grade.
- Determines how many days of annual or sick leave the employee is entitled to, among other leave-related policies.
Leave Grade Effective Date
- The date the specified leave grade (entitlement category) started applying to the employee.
Calendar Name
- The name of the assigned work calendar or schedule (e.g., “Worker 6 DAYS WORK 08:30~17:30”).
Calendar Effective Date
- The date when this particular work calendar or schedule began applying to the employee.
